Presenter Materials

All presenter materials must be digitally accessible. RDAP has a helpful accessibility prep guide, as does APA. If you have questions about making your material accessible, please reach out. The SEDLS Planning Committee may request that you review your material and fix any accessibility issues before resubmitting them.

Presenter materials are due prior to the symposium as the SEDLS Planning Committee will be assembling the slides for archiving in a repository so that they can be shared during the symposium for accessibility purposes -- we will provide the materials submission date by email.

Poster presenters: We don't technically have any requirements about poster format. A typical poster is about 36(h) x 48(w), if you'd like to stay typical. Here is a guide about creating posters. A few accessibility tips specific for posters include: Larger text size (18pt or larger) and font (such as Arial or Calibri) is preferred. Remember to apply ample white space between lines of text. Use dark text on a light background or vice versa. You can check Multiple Color Contrast Checker if you’re interested in other colors.
Logistics during the Conference

Accessing the appropriate Zoom room

Short Talk, Panel, and Keynote Presenters: Please use the main Zoom link, which will be emailed to all registrants.

Poster Presenters: Join the main Zoom link, which will be emailed to all registrants, and then you’ll be assigned to a breakout room for your individual poster. Each poster session lasts 1 hour, so please be prepared to be available this entire time during the assigned poster session.

Workshop Presenters: Join the Zoom link for your specific workshop. This link will be sent via a separate email– please reach out if you have trouble accessing the link.

Be aware of when you are scheduled to present. Please join the room a minimum of 15 minutes prior to the beginning of the session block in which you are presenting.

Once you join for your session, please virtually “raise your hand” to help the host/co-host easily find you among the participants.

Prior to your session beginning, the SEDLS host/co-host may have you test your screensharing, mic, etc. -- be alert and ready to work with the host/co-host on this if prompted. If you are worried, please attend the tech checks scheduled in advance of the symposium, which will be detailed through email to presenters.

Presenting/Screensharing/Recording in SHORT TALKS, KEYNOTE, and PANELS:

When it is time for your individual presentation, the SEDLS host/co-host will reassign you to a “cohost” role that will allow you to share content, unmute yourself, enable video, etc.

Do not unmute yourself, or start screensharing, or start video until you are given the go-head by the host.

Presentations with multiple presenters: Assign 1 person to be the driver of your slides; do not attempt to do screensharing swaps between presenters.

We encourage presenters to enable video to promote engaging interactivity; however, we leave it to your discretion to disable video if you choose.

Hosts will give you verbal prompts when you have 1 minute remaining in order to keep talks within their time allotment.

A recording will begin at the beginning of the session block, and will end at the end of the session block.

Presenting/Screensharing in POSTER SESSIONS:

Have your poster ready to screenshare from your own computer. See this help video for Zoom screensharing tips. Presenters will be able to share their screen, showing whatever they’d like.

We encourage presenters to enable video to promote engaging interactivity; however, we leave it to your discretion to disable video if you choose.

Attendees can go between individual poster presenters’ breakout rooms at their own capability throughout the poster hour–please recognize that an attendee could jump into/out of a presenter’s breakout room at any time There won't be a specific "presentation" amount of time, as whatever presenters talk about will be entirely based around what the participants who happen to show up into a breakout room want to know.

The SEDLS Planning Committee recommends that poster presenters prepare an "elevator pitch," walking through the point of your talk and how to read the poster, to help stimulate participant questions. Hopefully the session will stimulate some good discussion with attendees about presenter experiences.
